Our client is based in Denver, CO and is a fast-paced rapidly growing practice that provides private wealth management services.  The firm has an opportunity for a self-motivated talented Client Services Manager who has the ability to successfully contribute as a part of the team towards their business growth.

Position Summary: 

The Client Services Manager is responsible for providing superior client service through diligent and detailed follow-up, and maintenance of client account information, handling incoming phone calls, inquiries, and directing client concerns appropriately.  This position involves direct contact with Firm clients and serves as a critical resource to the Firm’s Advisors generating documents and packets for Advisors to use in client meetings.  In addition, this role will provide administrative support to ensure that Advisors maximize their time interfacing with clients and prospective clients.  To be successful in this role requires ownership, accountability, professionalism, superior organizational skills, accuracy, and dependability, as well as effectively prioritize assignments and tasks while ensuring the Firm’s records are maintained.   Primary responsibilities are as follows:

 

1)      Client Service Manager (CSM) - need to ‘own’ every client service request and ensure it is resolved by the CSM or by another team member, while knowing the ‘tasks’ have been completed and never lost (the Redtail CRM system is “best in class” for support)

2)      New business applications – work with the Senior Relationship Manager(s) to craft all new product applications and broker / dealer application and suitability forms; set up a ‘new client’ SOP

3)      Client review – help the Senior Relationship Manager to always be well prepared in advance for a typical client review including a simple audit of the Circle Black client performance report; the eMONEY Financial Plan and the Review SOP Checklist, plus the Quarterly Client Roadmap

Essential Functions:

·         Manage, organize and update relevant data using multiple proprietary database applications (CRM) and effectively communicate with Advisors on the status of tasks

·         Locate and retrieve information quickly in order to assist Advisors by producing documentation used in client reviews as well as prospect meetings

·         Participate and arrange for client reviews to be conducted in an effort to ensure that all “A” clients are reviewed at least four times a year; all “B” clients are reviewed at least two times a year and all “C” clients are reviewed at least once a year

·         Ensure all records and communications are keep in the upmost secure manner; maintain absolute confidentiality

·         Perform application reviews by completing client account applications and reviewing for completeness

·         Drive efficiency by analyzing existing processes and making recommendations for improvements with the goal of reducing expenses for both internal and external clients

·         Provides excellent customer service by responding to callers and/or clients inquires with a sense of urgency and high caliber professionalism (i.e., company location or fax numbers)

·         Responsible for administrative duties to include:

o   maintaining filing system, scan and file documents

o   assist in ordering, receiving, stocking and distributing office supplies

o   open new relationship accounts, wire transfers, or scanning

o   coordinate the pick-up and delivery of express mail services (I.e., FedEx, or UPS)

·         Performs other duties, as required

Qualifications:

·         Requires high school diploma or GED; Associate’s degree preferred

·         Minimum of five (5) years total service experience within the financial services industry

·         Superior written and verbal communication skills to clearly communicate issues and provide resolutions

·         Proficient with Microsoft Office including Word, PowerPoint and Excel

·         Familiar with financial products and services, as well as, with portfolio management techniques, brokerage and investment products and services

·         Demonstrated strong interpersonal skills required to develop team and client relationships

·         Demonstrated ability to analyze information and to evaluate the implications of a course of action or solution

·         Proven ability to identify and recommend process improvements

·         Excellent organizational skills with the ability to prioritize workload and multi-task while maintaining strict attention to detail, especially, in a time-sensitive environment, high pressure and meeting deadlines

·         Ability to use sound judgment and discretion regarding confidential information

·         Must be a self-starter, have a sense of urgency, take ownership, a continuous learner, possess a professional presence and detail-oriented

·         Current notary certification desirable

·         Hold Series 7, 66, or 63/65 licenses desirable
